This policy explains how IceFishingAR S.R.L., trading as IceFishingAR, handles personal information collected through https://icefishingar.pro and in the course of arranging and delivering fishing trips in Argentina.
1. Who we are
We are a fly fishing outfitter registered in the Province of Santa Cruz, Argentina, operating guided trips on the Río Gallegos and at Jurassic Lake (Lago Strobel). For the purposes of the EU and UK General Data Protection Regulation we act as the data controller for the information described below. We are not required to appoint a Data Protection Officer, but privacy questions are handled directly by our reservations manager at the address above.
2. Information we collect
Information you give us
- Enquiry details — name, email address, telephone number, country of residence, chosen destination, preferred travel dates, number of guests, fishing experience and anything you write in the message field.
- Booking details — postal address, passport number and expiry, date of birth, nationality, flight numbers and arrival times, emergency contact, and the names of everyone travelling with you.
- Health and dietary information — allergies, dietary requirements, mobility limitations and relevant medical conditions, where you choose to tell us. Under GDPR this is a special category of data and we only use it to keep you safe and comfortable in a remote location.
- Payment information — bank transfer references and billing details. Full card numbers are handled by our payment provider and never stored on our systems.
- Correspondence — emails, WhatsApp messages and call notes relating to your trip.
Information collected automatically
- Server logs — IP address, browser user agent, requested page, referring page and timestamp. These are generated by our hosting provider for security and diagnostics.
- Anti-spam signals — the time a form was opened and submitted, recorded to distinguish humans from automated bots.
Information from others
- Details passed on by a travel agent, booking agent or the lead traveller in your party.
- Reviews or tags you publish about us on public platforms.
3. How we use it
| Purpose | Data used |
|---|---|

We do not sell your personal information, and we do not use it for automated decision-making or profiling.
4. Legal bases for processing
Where the GDPR applies to you, we rely on the following legal bases:
- Performance of a contract — to plan, book and deliver the trip you have asked for.
- Legitimate interests — to respond to enquiries, keep records of our trips, protect the website from abuse and defend legal claims. We balance these against your rights each time.
- Consent — for marketing emails and for any use of your photographs in our own marketing. You may withdraw consent at any time.
- Explicit consent — for health and dietary information you choose to share.
- Legal obligation — to meet Argentine tax, accounting and tourism-registration requirements.
- Vital interests — in a medical emergency in a remote location where you cannot give consent.
5. Who we share it with
We share the minimum necessary with:
- Lodges, estancias and camps hosting your stay — name, dates, room configuration, dietary needs.
- Guides and transfer operators — name, arrival details, relevant safety information.
- Charter and airline partners — name, passport and date of birth, as required by the carrier.
- Provincial fishing authorities — the details required to issue your fishing licence.
- Payment processors, banks and our accountants — transaction records.
- Our hosting and email providers — as a technical consequence of storing and sending your messages.
- Insurers and legal advisers — only where a claim or dispute arises.
- Public authorities — where we are legally required to disclose.
Every supplier acting on our instructions is bound by confidentiality and may only use your data for the service we have engaged them for.
6. International transfers
Our operations are based in Argentina and our servers may be located in Argentina, the European Union or the United States. Argentina has been recognised by the European Commission as providing an adequate level of data protection, so transfers from the EEA and the UK to us may rely on that adequacy decision. Where a supplier sits outside an adequate jurisdiction, we use the European Commission's Standard Contractual Clauses or an equivalent safeguard. You may request a copy of the safeguard we rely on.
7. How long we keep it
| Record | Retention |
|---|---|
| Enquiries that do not become bookings | 24 months from last contact |
| Booking and guest files | 7 years after the trip (tax and liability) |
| Financial and invoicing records | 10 years, as required by Argentine law |
| Health and dietary information | Deleted within 90 days of your departure |
| Marketing list membership | Until you unsubscribe, then a suppression record |
| Web server logs | Typically 30–90 days |
8. How we protect it
The site is served over TLS. Enquiry forms are protected by a session token, a timing check and a hidden honeypot field. Access to guest files is limited to staff who need it, over password-protected accounts with two-factor authentication where the provider supports it. No system is perfectly secure; if a breach ever affects your rights and freedoms we will notify you and the relevant authority without undue delay.
9. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you and receive a copy.
- Correct information that is inaccurate or incomplete.
- Erase information we no longer have a lawful reason to keep.
- Restrict or object to certain processing, including direct marketing.
- Receive your data in a portable, machine-readable format.
- Withdraw consent at any time, without affecting processing already carried out.
- Complain to a supervisory authority — in Argentina the Agencia de Acceso a la Información Pública, in the EU your national data protection authority, in the UK the Information Commissioner's Office.
To exercise any of these, email reservations@icefishingar.pro. We reply within 30 days and never charge for a first request.
Residents of California and other US states with privacy statutes have equivalent rights of access, deletion, correction and opt-out of sale or sharing. We do not sell or share personal information as those terms are defined, and we will not discriminate against you for exercising a right.
10. Cookies and similar technologies
This website is deliberately light on tracking. We set:
- A session cookie (
PHPSESSID) that exists only to protect the enquiry form against cross-site request forgery. It is strictly necessary, holds no personal data and expires when you close your browser.
We load our typefaces from Google Fonts, which means your IP address is visible to Google when the page loads. If you would prefer to avoid this, the fonts can be self-hosted on request. We do not currently run advertising pixels or third-party analytics. If that changes we will update this policy and, where required, ask for your consent first.
11. Children
Our trips are sold to adults. We do not knowingly collect information from anyone under 16 except as part of a family booking made by a parent or guardian. If you believe a child has given us data directly, contact us and we will delete it.
12. Changes to this policy
We update this policy when our practices or the law change. The effective date at the top always reflects the current version. Material changes affecting how we use your data will be emailed to guests with an active booking.

A note for the site owner: this document is a well-structured starting point, not legal advice. Before publishing, have it reviewed against Argentine Ley 25.326, and — if you market into Europe — by a data-protection adviser. Replace the entity name, CUIT and address in includes/config.php.
